Processing Activities

As data controller pursuant to the GDPR, we maintain the following processing activities in our GDPR software.

Website Visits

When you visit our website, we only use technical cookies necessary for the website to function.

Communication with Potential Customers

When you have questions about our site or wish to learn more about our services, you can contact us via:

- Contact form
- Email
- Phone

Through these channels, we will process your personal data in order to engage in dialogue with you, e.g. to answer questions about our services. We only process the information you provide to us in connection with our communication.

We will typically process the following general information: name, email, phone number.

Our legal basis for processing this personal data is Article 6(1)(f) of the General Data Protection Regulation.

We will delete our communication with you once it becomes clear whether or not you wish to use our services.

Should a special need arise to retain your personal data for a longer period, this may be the case.

Customers

We need to communicate with our customers to ensure that the service is delivered correctly. In this connection, we may process information such as name, address, services, special agreements, payment information, and similar.

The legal basis for processing this personal data is Article 6(1)(b) of the General Data Protection Regulation.

When the service has been delivered and any outstanding matters have been concluded, we will promptly delete the personal data.

Bookkeeping

We are required to retain all accounting documents pursuant to the Danish Bookkeeping Act. This means we retain invoices and similar documents for accounting purposes, which may contain general personal data such as name, address, and service description.

Our legal basis for processing personal data for bookkeeping purposes is Article 6(1) of the General Data Protection Regulation.

We retain this information for a minimum of 5 years after the end of the current financial year.

Job Applications

We are happy to receive job applications in order to assess whether they match a hiring need within our company.

If you send us your job application, our legal basis for processing your personal data is Article 6(1)(f) of the General Data Protection Regulation.

If you have submitted an unsolicited application, we will assess whether your application is relevant and will then delete your information if there is no match.

If you have applied for an advertised position, we will discard your application if you are not hired, immediately after the right candidate has been found for the role.

If you are involved in a recruitment process and/or are hired for the position, we will provide you with separate information on how we process your personal data in that regard.

Data Processors

Few can manage everything on their own, and the same applies to us. We therefore work with partners and use suppliers, some of whom may act as data processors.

External suppliers may, for example, provide systems for organizing our work, services, consultancy, IT hosting, or marketing.

It is our responsibility to ensure that your personal data is processed properly. We therefore place high demands on our partners, who must guarantee that your personal data is protected.

We enter into agreements with companies (data processors) that handle personal data on our behalf in order to enhance the security of your personal data.

Disclosure of Personal Data

We do not disclose your personal data to third parties.

Profiling and Automated Decisions

We do not carry out profiling or automated decision-making.

Third-Country Transfers

As a general rule, we use data processors located within the EU/EEA, or that store data within the EU/EEA.

In some cases this is not possible, and data processors outside the EU/EEA may be used, provided they can offer your personal data adequate protection.

Processing Security

We keep the processing of personal data secure by implementing appropriate technical and organizational measures.

We have conducted risk assessments of our personal data processing activities and have subsequently implemented appropriate technical and organizational measures to enhance processing security.

One of our most important measures is keeping our employees up to date on GDPR through ongoing awareness training, GDPR courses, and by reviewing our GDPR procedures with staff.

Rights of Data Subjects

Under the General Data Protection Regulation, you have a number of rights with regard to our processing of information about you.

If you wish to exercise your rights, please contact us so that we can assist you.

Right of Access

You have the right to access the information we process about you, as well as a number of additional details.

Right to Rectification

You have the right to have inaccurate information about yourself corrected.

Right to Erasure

In special circumstances, you have the right to have information about you deleted before our standard general deletion occurs.

Right to Restriction of Processing

In certain cases, you have the right to have the processing of your personal data restricted. If you are entitled to restricted processing, we may only process the data — other than for storage purposes — with your consent, or for the purpose of establishing, exercising, or defending legal claims, or to protect a person or important public interests.

Right to Object

In certain cases, you have the right to object to our otherwise lawful processing of your personal data. You may also object to the processing of your data for direct marketing purposes.

Right to Data Portability

In certain cases, you have the right to receive your personal data in a structured, commonly used, and machine-readable format, and to have that data transferred from one data controller to another without hindrance.

You can read more about your rights in the Danish Data Protection Agency's guidance on the rights of data subjects, available at www.datatilsynet.dk.

Withdrawal of Consent

Where our processing of your personal data is based on your consent, you have the right to withdraw that consent at any time.

Complaints to the Danish Data Protection Agency

You have the right to lodge a complaint with the Danish Data Protection Agency (Datatilsynet) if you are dissatisfied with the way in which we process your personal data. You can find the Agency's contact details at www.datatilsynet.dk.

We generally encourage you to read more about GDPR so that you are informed about the rules.
